Physical Race Registration Information

  1. 1. When and where will the Garmin Run Asia Series 2023 – Malaysia be held?
  2. The event will be held on 22 October 2023 (Sunday) at Dataran Putrajaya.
    *Venue and Dates are subject to change.
  3. 2. I couldn’t attend the physical race. Can I join virtually?
  4. Thank you for your support, however there is no virtual run this year. We look forward to seeing you again in the future.
  5. 3. When does the registration close?
  6. Registration will close on 15 August 2023 or when all slots are sold out, whichever is earlier.
  7. 4. What is the minimum age to participate in the Garmin Run Asia Series 2023 – Malaysia?
  8. There are different minimum age requirements for the different race categories.
    1. ● 5KM Kids: Ages 5 to 12 years as of date of Event.
    2. ● 5KM Open: Minimum 13 years as of date of Event.
    3. ● 10KM Open: Minimum 13 years as of date of Event.
    4. ● 10KM Veteran: Minimum 40 years as of date of Event.
    5. ● 21KM Open: Minimum 18 years as of date of Event.
    6. ● 21KM Veteran: Minimum 40 years as of date of Event.
    7. Note: Participants age 17 years and above must be accompanied by an adult above 18 years old.

  9. 5. What happens if I could not complete my run within the qualifying time?
  10. All registrants must complete their run within the qualifying time. There are 3 different distance categories to choose from and options of Speed and Cruise, so ensure to choose wisely which category fits your pace best.
  11. 6. What is the difference between the Speed and Cruise category?
  12. The Speed category is for runners who are looking forward to complete the race under one hour (10km as example) and the Cruise category is for runners who are looking forward to complete the race above an hour. Speed category runners are eligible to race and to win podium prizes.
  13. 7. Can I register for multiple race categories?
  14. Unfortunately, joining multiple categories is not allowed. 1 participant is only allowed to join 1 category.
  15. 8. I have my own insurance, do I still need to purchase the Group Personal Accident Insurance from the event?
  16. Yes, it is compulsory to purchase the Group Personal Accident Insurance (this is set by the Sports Commissioner Office of Malaysia)
  17. 9. How do I know if my registration is successful?
  18. Upon completion of registration, you will see a ‘success’ message on your screen and receive a confirmation email as well. You may also check it in your Heyjom app, under Dashboard.
  19. 10. I have registered but did not receive my confirmation email. What should I do?
  20. If you did not receive your confirmation email, please check your spam, junk, promotions and social folders, or any other tabs in your inbox. Alternatively, you may also view your registration on your Heyjom dashboard.

    If it is not there, please contact us at info@heyjom.com with your full name, IC / passport number, email address used for registration and any proof of payment.
  21. 11. Can I change my distance or category after I have completed my registration?
  22. Unfortunately, you are not allowed to change your distance or category upon completing your registration.
  23. 12. If I wish to withdraw from the race, can I transfer my registration?
  24. No. Race entries are strictly non-transferable and non-refundable. The registration system documents the particulars of each runner and in the event of emergencies where medical assistance is required, the emergency contact is taken from the information stated at the back of the bib. For the safety of our runners, changes are not permitted.
  25. 13. Do I get a refund if I choose not to participate after completing my registration?
  26. No. Registration fees are strictly non-refundable.
  27. 14. Do I need to do a COVID-19 test before attending the event?
  28. It is not compulsory, but to keep yourself and others safe, you are encouraged to do a self-test before participating in the event.
  29. 15. Do I need to be fully vaccinated to participate in the event?
  30. Yes, you must be fully vaccinated to participate in the event. Proof of vaccination will be required on the event day.

About Runner’s Race Pack

  1. 1. What do I get in my race pack?
  2. 5KM - Dry Fit Event Tee, Finisher Medal & Race Bib.
    10KM - Dry Fit Event Tee, Finisher Medal, Race Bib with timing chip & E-certificate.
    21KM - Dry Fit Event Tee, Finisher Medal, Race Bib with timing chip, E-certificate & Half Marathon finisher tee.
    Finisher medal and finisher tee can only be collected after completing the race upon presentation of race bib.
  3. 2. Can I change my t-shirt size after registering?
  4. No, you are not allowed to change your t-shirt size after registering.
  5. 3. I would like to have different sizes for my event tee and finisher tee. How can I do that?
  6. Unfortunately it cannot be done as finisher tee size will follow exactly the same with event tee.

About The Physical Race

  1. 1. Is it necessary to wear the race bib when participating in the race?
  2. Participants MUST wear their race bibs while participating in the race. The Race Organiser reserves the right to deny entry of runners into the start pen without valid race bibs.
  3. 2. What is the flag off time?
  4. The flag off time will be announced upon approval by the authorities.
  5. 3. Is there a cut-off time for the Garmin Run Asia Series 2023 – Malaysia?
  6. The qualifying timings for each category are as follows:
    ● 5KM Cruise (no Speed category for 5KM) – 1 hours 30 mins after the flag off time.
    ● 10KM Speed – 1 hours 15 mins after the flag off time.
    ● 10KM Cruise – 2 hours 30 mins after the flag off time.
    ● 21KM Speed – 2 hours 30 mins after the flag off time.
    ● 21KM Cruise – 4 hours after the flag off time.
  7. 4. If I do not complete the race in the stipulated time-frame, will I be entitled to the Finisher’s items?
  8. Unfortunately, finisher items (such as finisher medal, 21KM finisher tee, snack pack) are only reserved for registered participants who have completed the race. The finisher items can only be collected at the race village.
  9. 5. Is there a baggage deposit area at the race village?
  10. There is a complimentary baggage check-in service at the race village where runners can deposit their belongings.

    *Counters will only accept items secured in bag(s). Whilst maximum care and security will be enforced, the Organiser will not be responsible for any lost or damaged items, or delay in retrieving the bags. Participants are advised to arrive 1 hour before their start time.

  11. 6. Can I run if I am pregnant?
  12. If you were a regular runner before your pregnancy then it's safe to continue for as long as you find it comfortable and are not experiencing any complications. However, as organizers, we do not encourage this and we shall not be deemed responsible under any circumstances.
  13. 7. Can I run with a stroller?
  14. No, for the safety of all the race participants, strollers are not permitted.

Race Entry Pack Collection

  1. 1. What do I need to produce to collect my Race Pack?
  2. ● Softcopy of your identity card/passport
    ● Softcopy of your event confirmation slip
  3. 2. When and where is the Race Entry Pack Collection?
  4. The Race Entry Pack Collection is on 14 & 15 October 2023 at Event Hall 2, The Starling Mall, Petaling Jaya.
  5. *Venue and Dates are subject to change

  6. 3.Can I collect the race entry packs for my family or friends?
  7. Yes, but you must have a copy of their NRIC and their event confirmation slip. Softcopy is accepted.
  8. 4. I am an International Participant, and I will only be in Malaysia during the same week. Can I collect my race kits during event day?
  9. Unfortunately, there will be strictly no collection on the event day. You are encouraged to opt for delivery option or get a representative to collect on behalf of you. If you face any further challenges, please email us at info@heyjom.com.
  10. 5. When will I receive my race kit if I opt for delivery?
  11. Your race kit is estimated to reach you 1 week before the event.

TERMS AND CONDITIONS

  • Please read all the terms and conditions ("Terms") carefully. Each individual who registers to participate in Garmin Run Asia Series 2023 – Malaysia ("the Event") (and, where applicable, in the case of a participant below the age of 18 years, the participant's parent, guardian or legal representative) ("Participant") declares and acknowledges to have read, understood and agreed to the Terms below and undertakes to comply with and be bound by the same.
  • 1. Garmin Run Asia Series 2023 – Malaysia ('Event') is owned by Garmin Malaysia Sdn Bhd (‘Garmin’), and organised by Score Sports Management Sdn Bhd (‘SCORE’).
  • 2. The Event will be held on 22 October 2023 ("Date"). The Organiser reserves the right to postpone or cancel the Event at any time.
  • 3. Eligibility:
    1. 1. The Event is open to all and each participant attends the Event on his or her own free will.
    2. 2. The 5KM is open to participants age 5 and above. Participants age 5 - 17 years old MUST be accompanied by at least ONE adult participant of 18 years old and above of the same category who will always be responsible for their safety.
    3. 3. The 10KM and 21KM is open to participants of age 18 and above.
  • 4. Prize Winners:
    1. 1. Winners must present in-person to collect their prize after the race upon the announcement of results. All uncollected prizes will be forfeited.
    2. 2. The Organiser reserves the right to request for the winners’ identity card or passport for verification.
  • EVENT REGISTRATION

  • 1. By signing up for and providing any information, personal or otherwise, to gain access and to participate in the Event or any activities relating to the Event, the participant is deemed to have given express permission to the Organiser and Event partners and sponsors (if any) to use such personal information for marketing, statistical and planning purposes.
  • 2. By signing up for and providing any information, personal or otherwise, the participant agrees to provide his/her name and personal details to the insurance partner of the event for the purchase of Group Personal Accident Insurance (compulsory by the Sports Commissioner).
  • 3. The Organiser reserves the right to contact the participant from time to time by any means. Any notice sent to the email address registered with the Organiser shall be deemed as received by the participant.
  • 4. If a participant provides any information that is untrue, inaccurate, outdated, or incomplete, the Organiser may suspend or terminate the participant's registration and refuse any and all current or future use of any components of the Event. There will be no fee refund upon such suspension or termination of the participant's registration.
  • 5. The Organiser will not entertain or be in any way responsible for any disputes arising from incomplete or inaccurate Registration Data in the Event registration form completed by the participant.
  • 6. Once the participant’s registration has been duly processed, there will be no refund for any participant who does not eventually take part in the Event for whatever reason.
  • 7. All T-Shirt measurements are subject to 0.79+/- inch tolerance.
  • 8. All colour, design and material of merchandise (such as event tee, finisher tee, finisher medal, bib, goodies bag etc.) are subject to change without notice.
  • 9. There will be no refund on registration fees if the Event is cancelled for reason of force majeure i.e., due to occurrence of incidents that are beyond the control of the Organiser (including but not limited to haze, storm, rain, inclement weather, wind, act of God, terrorism, or other conditions) and which in the Organiser's opinion, renders it impossible or unsafe to hold the Event.
  • EVENT PARTICIPATION

  • 1. The Organiser reserves the right to refuse entry to any applicant under the age of 5 for 5KM and under the age of 18 for 10KM and 21KM.
  • 2. Bib given to the participants during the Entry Pack Collection are compulsory to be always worn during the Event. Entry will be prohibited otherwise.
  • 3. While every reasonable precaution will be taken by the Organiser to ensure the participants safety, participants attending the event is solely at their own risk and the Organiser will not be responsible or held liable for any injury or death however arising from training for, during or after participation in the Event. Participants are strongly encouraged to go for a medical examination and/or to consult their medical practitioner prior to registration and before the actual Event day.
  • 4. It is the sole responsibility of every participant to inform the medical staff/safety marshal of the session regarding any injury or reason that they cannot exercise.
  • 5. Should any participant feel fatigue, restless, or an injury at any time during or before the session, they must immediately inform the medical staff/safety marshal and refrain from joining the session.
  • 6. Participant must retire from the session immediately, if required to do so by any member of the official medical staff/safety marshal.
  • 7. The Organiser cannot be held responsible for lost, damaged or stolen property during the session.
  • 8. The Organiser reserves the right to amend the Rules and Regulations of the Event which will be reflected on the Event's Registration Platform and it is the responsibility of all the participants to keep abreast with any changes.
  • 9. The Organiser reserves the right to change the date, venue or to cancel the Event at any time without prior notice to the participants, in which case the Organiser will make every effort to inform the participants prior to the Date. If the Event must be cancelled, there shall be NO refund of fees and the Organiser shall not be liable for any other loss or inconvenience caused.
  • 10. The Organiser is not responsible for any error, omission, interruption, deletion, defect, delay in operation or transmission, communications line failure, theft or destruction, unauthorised access to, or alteration of user communications, or any problems or technical malfunction of any telephone network or lines, computer online systems, servers or providers, computer equipment, software, failure of email or traffic congestion on the internet and/or the Event's Official Website.
  • 11. Participants must ensure that they have read and understood the Personal Data Protection Notice on the collection, retention, use, disclosure and management of the Participant's personal data. By reading and agreeing to it, Participants agree to authorise and allow the Organiser and/or any of its subsidiary companies to collect, retain, use and disclose the Participant's personal data for the purposes mentioned in the Personal Data Protection Notice.
